Project Support Coordinator

 

The Project Support Coordinator is responsible for helping to maintain the project database by entering new project information and updated customer and account information. This position prepares project folders and effectively communicates accurate information regarding the timeliness of completion of tasks. The Project Support Coordinator will interact with the Project Manager (PM) to communicate any upcoming requirement changes. The Project Support Coordinator works under the direction of the Project Manager (PM) to support company initiatives. Additionally, the Project Support Coordinator will assist and provide support to the finance department and accounts receivable.

 

Qualifications:

  • High School diploma or equivalent is required;

  • Excellent computer skills including MS Office, Excel, Outlook, Google Docs, Adobe Acrobat, ability to type 50 wpm;

  • Great attention to detail, ability to spot incorrect data before entering into the system; 

  • Demonstrated willingness to be flexible and adaptable to changing priorities;

  • Excellent verbal and written communication skills; 

  • Strong multi-tasking, organizational and time management skills; 

  • Professional appearance and interaction;

  • Must be a motivated team player, looking to succeed; 

  • Ability to work independently, and in a team setting;

  • Perform other assigned tasks as needed and requested by management; 

Responsibilities:

  • Quickly and accurately perform data entry from source documents into a computer database; 

  • Coordinate efficient submittal and retrieval of various data from computer database;

  • Build a positive relationship with our clients to obtain any additional documentation needed to complete the file;

  • Communicate with Project Manager (PM) regarding any changes in projects requirements or issues that may impact client relations;

  • Identifies and recommends process improvements for increased efficiency and productivity;

  • Support staff with administrative support, including organization and maintenance of project folders, uploads and downloads of files;

  • Prepare permit submittal packages in accordance with jurisdictional requirements;

  • Submit permit packages via online systems;

  • Prepare/Package project deliverables to be shipped out to clients;

  • Provide some administrative and accounting support as needed;

  • Input billing terms for incoming projects as they are set up on the project schedule;

  • Provide support and preparation of a percentage of the regularly outgoing invoices and statements to clients.
